ProCockpit – „where the threads come together“

The depth of integrated systems can often be overwhelming. In order to ensure the most efficient use of such systems, a comprehensive “Single Point of Contact” (SPOC) solution for service companies’ largest target groups should be set up to professionally tackle this topic.

ProCockpit is the central work platform for project leaders, order management, and administration. All functions support the daily handling of projects and orders. For this purpose we have built in-house an intuitive, easy to use and customer adaptable user interface that supports & consolidates all relevant order- & project management activities.

Apart from project overviews, the cockpit supports you with all necessary information to assist in project controlling. You can structure and plan your projects, attach documents, execute project procurement items, as well as analyze released invoice data or to be billed revenue stream data. In addition to the plethora of reporting functionalities, you can access the integrated project- status & progress reports via ProGress and resource & capacity planning reports with ProKapa.

Billing Engine

ProTime comprises a comprehensive billing engine that allows the following invoice types:

• Time & Material (per call) with flexible additional functionality such as: more or less performance invoicing, open item handling, manual amendments to reported and invoiced hours / pricing, automatic lump sum generation, standard pricing override, etc. 

• Lump sums according to invoicing plans or milestones.

• Time & Material & Lump Sum billing combination.

• Flexible invoice revision possibilities with FlexLayout. Entry lines can be grouped according to various criteria, manual subtotals including discounts formed, and the invoice lay-out can be flexibly amended 

The automatic generation of project over- or under absorptions in this context creates invoices that are audit compliant.

ProGress

ProGress – Analytical Project Status Monitoring & Risk Management

Successful projects are consistently monitored from start to end.

The aims are two-fold: Security in general and to report the exact current project status specifically.

ProGress provides a consolidated and aggregated holistic or partial project portfolio view at a push of a button.

Pro-active project controlling ensures that project events are transparent. At any time, exclusive-, status- and ending reports need to be compiled with little time involvement in addition to the continuous deadline and cost analysis. Project leaders, project controllers, business heads and also executives need reports of differing granularities, and these need to be produced just in time, according to your requirements, with project controlling and meaningful decision making information.

Apart from classic controlling data and key figures ProGress incorporates “Soft Factors” in order to assess Projects. Projects can be assessed and analyzed by the estimated rate of progress, adherence to deadlines, quality standards, risks, etc.

ProGress prepares user-specific project data according to the user’s role. In doing so, ProGress works completely object independent meaning that it is irrelevant if projects are internal orders, customer orders or project system projects. All reporting too is totally cross-object oriented and allows variable object analysis in one report. Project history access, in addition to special analysis reports outlining project status and post calculation, is also possible. At all times, project leaders quickly receive their project’s current status via customer defined traffic lights.

ProGress project reports show a total project portfolio overview and, based on thresholds, react with automatically generated emails. A project status report in conjunction with an interactively added form covering comments, variant analysis, and actions, can be used as an additional reporting tool for management. The project leader can automatically compile a project status analysis directly from the report or through the internet, enhanced with comments and actions if necessary. This monthly status analysis report is automatically attached as a PDF document in SAP Document Management and assures that a complete project development write-up is warranted.

ProKapa

ProKapa – Resource and Capacity Planning

Telephone calls, meetings, Outlook diaries, Excel spreadsheets, and project management tools, mixed with a bit of shrewdness, are all possible ways of planning resources – however not really efficient. And most probably not complete.

ProKapa is the only integrated SAP solution for project leaders, business heads, and employees allowing a comprehensive capacity overview – irrespective if you are trying to analyze a single department, whole organizational units, projects or specialized staff.

To determine free capacities by taking HR Management data (annual leave, sickness, etc.) in to consideration, you can integrate all SAP objects in to ProKapa be they customer orders, internal projects, service & maintenance orders, internal orders or standard sales proposals from your sales pipeline in order to pre reserve resources. You always have a comprehensive overview of all data elements and you can navigate with ease via cockpits.

ProKapa is also skill driven. You can search for available resources in the desired time frame, in accordance with the necessary project qualification requirements, and belonging to the desired organizational business unit thus minimizing travel costs are usually important project goals.

ProKapa automatically checks if the required resources are already booked and displays messages accordingly. Employees are automatically notified when new plans are crafted or existing plans amended.
